How we collect, use and protect personal information, and the rights you have over it.

Who we are

This website is operated by GlowStay Management. You can contact us at hello@glowstay.co.uk.

We are the controller of the personal information described in this policy.

Information we collect

  • Property enquiries: your name, contact details, property address and details, how the property is used today, the service you are interested in, any photos you upload and anything else you tell us.
  • Contact and data requests: your name, contact details and your message.
  • Owners we work with: contact details, property information, access and operational details, agreement and fee information, payout bank details, statements, documents and messages exchanged through the owner portal.
  • Guests staying at properties we manage: booking details such as names, dates, number of guests and contact details, received from booking sites or directly from guests, and any information needed to resolve problems during a stay.
  • Portal and admin accounts: your email address, a securely hashed password and sign-in records such as the time and IP address of each sign-in.
  • Technical information: server logs that record IP addresses, browser type and the pages requested, used to keep the website secure and working.

How and why we use it

  • To respond to your enquiry, assess your property and prepare a proposal, because you have asked us to (steps before entering into a contract).
  • To manage properties for owners and to run guest stays, because this is necessary to perform our contract with the owner and to arrange each stay.
  • To keep financial records and meet our tax and accounting obligations (legal obligation).
  • To keep the website, portal and our systems secure and to prevent fraud and misuse (legitimate interests).
  • To send you occasional news and tips, only if you have opted in. You can withdraw that consent at any time.

Who we share it with

We share personal information only where needed to provide our services, for example with:

  • booking sites such as Airbnb, Booking.com and Vrbo, which have their own privacy policies;
  • cleaners, laundry providers, tradespeople and contractors who carry out work at a property;
  • the providers who host our website and databases, deliver our email and protect our website from attacks;
  • professional advisers, and authorities where the law requires it.

We do not sell personal information. Some of our providers may process information outside the UK. Where they do, we rely on safeguards recognised under UK data protection law, such as adequacy regulations or approved contract terms.

How long we keep it

  • Enquiries that do not lead to an agreement: up to 2 years after our last contact.
  • Owner, property, booking and financial records: for the length of our agreement and then 6 years, to meet accounting and legal requirements.
  • Server logs and security records: for a limited period, then deleted.

How we protect it

The website and portal are only available over encrypted connections. Passwords are stored as one-way hashes, sensitive property access details are encrypted in our database, and staff can only see what their role requires.

Your rights

Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, and ask for it to be transferred. Some rights have exceptions, for example where we must keep financial records. We respond within one month. You can use the form below, or email hello@glowstay.co.uk.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
